Workflows — The Enemy of Inefficiency
Workflows are essentially a set of commands and checks that a system integrated with Nintex functionality (like Office 365 or SharePoint) follows automatically. Nintex workflows can be used to send emails, generate documents, monitor certain conditions, and manage any operation that must be conducted the same way every time. Take for instance the process of onboarding a new hire; once the hiring director has approved the new hire, they must notify Human Resources, so they can perform a background check and gather relevant materials like benefits packages and legal documents.
Next, HR will notify IT, so that they can create accounts on the company’s intranet and email system. After they have been added to the system, HR will contact the new employee’s supervisor, notifying them of the new hire’s assignment to their department. And finally, the new employee will undergo training and orientation on their first day of work. That is a long and complicated process that workflows can make less difficult.
A More Abel Solution
If Abel Solutions were to automate this process with Nintex workflows and forms, the process would look a bit different. When the hiring director finalized the employment agreement, she could fill out a form, including the employee’s name, department, date of hire, and other information. Submitting it would kick off a workflow, sending an email pre-populated with information from that form to notify HR of the new employee and prompt them to start a background check. A separate part of the workflow would create an entry into the employee database, again taking information from the form to fill it out.
A second workflow will notify IT to add the new employee to their information systems, set them up with various accesses and logins as appropriate, and then notify HR when those additions were complete. That would, in turn, send relevant HR documents to the employee’s newly set up company email address. Another part of the workflow solution would contact the employee’s new supervisor, including details from the form such as name and the time at which they are scheduled to first report in. Finally, a workflow would notify the trainer of the new hire, and schedule them to begin work with the employee at an appointed time.
