The Utility of Nintex Forms
While workflows get the praise in a successful, Nintex-powered system, forms are an unsung hero in the effort to streamline business processes. Forms are used to capture data that can be used by workflows to accomplish a task. Take, for instance, submitting a purchase order form to a new supplier: an analog PO is a form that must be passed around to each person that needs to approve it before finally going to the supplier. Notifying shipping and receiving, updating supplier contact lists, and monitoring the dates of receipt for your order are each a separate response that must be executed independently from the main task of sending the purchase order. All of those require separate forms — resulting in an overwhelming amount of paperwork to track. This inefficient use of effort can be improved with a bit of help from Nintex, provided by Abel Solutions.
An Abel Solution
Automating with Nintex can help make this submission process less painful. To improve this process, Abel Solutions would set up a comprehensive workflow solution and appropriate forms that looks something like this; saving and submitting a purchase order form would kick off a workflow that sends an email to all concerned parties, requesting approval. That email would feature information pulled from the form such as the price-per-unit and number of units. If one person responded to the request with a denial, the process would automatically stop and notify the person who sent the initial request. If it gains unanimous approval, however, the workflow would send the PO on to the supplier.
A second, parallel branch of the workflow would be running at the same time, creating a new entry in the company contact list by referencing the fields in the submitted form. A third branch in the workflow sends a notification email with details from the PO form to shipping and receiving immediately, and then again on the day that the shipment should arrive. Finally, the workflow would monitor the progress of the work order, updating its status as certain benchmarks are reached. This Nintex-automated process handles everything itself after the initial entries on the form, saving time, effort, and resources.
